Law firms

The hours nobody bills

Answering the call, watching the deadline, drafting the client update, assembling the intake file. Inside the firm.

You paid to make that phone ring. Then it rang during court.

Managing partner

Electronic service starts the clock whether anyone opened it or not.

Partner

Most complaints in this profession are not about losing. They are about going quiet.

Client relations

Conflict search, identity, source of funds, engagement letter: hours before a penny comes in.

What changes first

The call is answered and written up

The caller's name, the matter type and the facts land in your case system.

The clock is watched

The period is worked out the day the notification lands, and escalated until acknowledged.

The client hears from you first

Updates are drafted at milestones and when a file goes still, and a fee earner approves each one.

Where the hours go, and what we build

Intake calls

The call that comes during court

A voice system on your own line answers every call, captures the name, matter type and facts, and writes the note into your case system.

It never gives legal advice. Your team reads notes, not voicemails.

Deadlines

The deadline that starts in silence

We build a sentinel that reads the notification the day it lands, works out the period, and keeps escalating until it is acknowledged.

It escalates until a named lawyer says it is seen.

Client contact

“Any update?”

We build a system that watches each matter and drafts the client update, at milestones and whenever a file has been still too long.

Your fee earner approves it. Nothing reaches a client unapproved.

Onboarding

The hours before a matter earns anything

We build one intake pipeline that assembles the whole file, conflict search, identity, source of funds and engagement letter, with the evidence attached.

Your compliance officer clears or blocks. It never opens a matter.

A week with the system

Monday
The weekend's calls are notes in the case system, with the facts captured.
Tuesday
A notification lands, the period is calculated, and it escalates until a lawyer confirms.
Wednesday
Files that have gone still are listed, and the drafted updates wait for approval.
Thursday
An intake file arrives complete for the compliance officer to clear or block.
Friday
A precedent search returns the passage and the matter it came from.

Illustrative example. Nothing here is a measured result.

What we would watch with you

Illustrative example. Nothing here is a measured result.
What we watchHow it is measuredBaseline
Answered enquiry rate, by hourEnquiries received against enquiries answered, split by time of day.Out-of-hours calls are systematically invisible in current reporting.
Time from notification to acknowledgementHours from the notification landing to a named lawyer confirming. Not measured today, which is precisely why the risk exists.
Files still without client contactMatters with no client contact beyond the agreed interval.Nobody has the list; complaints are the current reporting mechanism.
Time from first contact to matter openedTimestamp of first contact to the compliance decision recorded.Usually untracked, and the client is already talking elsewhere.
Unbilled administrative hoursNamed people and hours on intake, chasing and formatting. The easiest baseline to establish, and the one partners feel.

Questions partners ask

Will it give legal advice?

No. It answers, captures and drafts. It does not advise a caller, does not decide a matter, and does not send anything to a client or a court without a lawyer approving it first.

Do our client files leave the firm?

No. The system runs inside the firm, on your servers, with a log of every access. Who may see which matter is a setting your firm controls, not one we hold.

Does running it on our servers make us compliant?

Not by itself. It removes a large risk category (the client file never leaves a building you control), but compliance is your process and your assessment. We build to the boundary your firm sets.
